Desktop Basket is a system of automated transfer folders, allowing the user to drag and deposit any type of digitalized document in one of its virtual folders. The document can be deposited in a targeted directory, sent by Email, saved in the document management system, used to launch a Workflow or document processing, depending on the configuration of the folder.

Uses

The Documalis virtual folders can be used in so many ways in the company :
• Dispatching of information targeting various services, just like welcome mail folders.
• Protected and automated transfer of information aimed at a number of companies (e.g. sales team, heads of department, shops …)
• Despatch by email or Internet transfer to a list of external addresses : partners, clients, suppliers, retail outlets …
• Document conversion : drag in a Word or Excel document, and it comes out in PDF format, with header and footer in a standard company format.
• Automatic archiving in GED : the documents dragged in the basket are automatically inserted in the document management system, with the possibility of capturing the index and choosing the file where the document will be saved.


Working with ease
Desktop Basket can be installed in a matter of seconds on users’ PCs and it places at their disposal a whole range of graphic baskets which instantaneously pop up on the screen when one of the corners is touched by the mouse. The baskets can be defined in a central way and they can be imported on users’ PCs without their having access to transferred information used. The basket concept is so simple that no training is required by users.

Protected Transfer
Documents collected by Desktop Basket are encrypted in one shot, and transferred in protected mode towards the Documalis process server. Desktop Basket authorizes any type of processing of the document thanks to its upstream connection with Process Server, Workflow Server, Communication Server orDocument Server.

Indexing and Workflow
Some « confidential » folders may require the user’s identification, propose the capture of various indexes or the classification in a virtual directory, depending on the configuration of Desktop Basket. The documents collected can be used to launch Workflow to circulate information among various users with a view to sharing information or its validation.
