Desktop Printer allows the fast and easy creation of various virtual PDF printers, Text or Image, with a view to capturing the prints originating from various software used in the PCs using Windows. The data contained in those prints can be extracted, reworked, reformatted by Documalis processing servers connected with a particular printer. The original document can be previewed by the user and reprinted directly on demand.

Uses

Documalis Desktop Printer makes it possible to digitalize all prints relating to the business: invoices, payroll and pay slips, accounts, customers’ forms, summary reports, logistics, receipts, ERP prints, prescriptions, statistics for :
• Reformatting prints originating from the main ERPs on the market
• Extracting the text content : content analysis, processing of spools, Business Intelligence, feeding of Datawarehouse …
• Deleting page backdrops and modifying presentations: logos, adding publicity, deleting of certain zones …
• Automatic despatching of documents by Mail, Fax or EDI electronic transfer: bulletins, invoices, purchase orders, …
• Digital signing or certifying of the document, creating a PGP, MD5 or SHA1 print, despatching the document towards a trusted third- party (electronic safe)
• Launching a workflow among users, insert the document directly in a document management module or any other business application …


Working with ease
Desktop Printer provides a simple visual interface to users, indicating to them at every stage the progress of the process and confirming the management of the document after its transfer. The connection of printers to users’ PCs is very simple thanks to the Print Setup help. The submission of a document is very normal for any Windows user: he just has to select the printer and launch the print from any software.

Protected Transfer
The documents collected by Desktop Printer are encrypted in one shot, and transferred in protected mode towards the Documalis processing server. PDF documents can be digitally signed by the user at the time the print is done, or this can de done by a central company server.

Indexing and Workflow
The digitalization of confidential documents may require the user’s identification, namely for the capture of various index fields, the classification in a virtual directory structure, depending on the configuration of the Desktop Printer. If the information required for indexing are part of the printed document, it can be also automatically retrieved by Process Serverin the phases of document processing. Some virtual printers can also launch an indexing or approval Workflow automatically.
