Incoming and outgoing Email Server dedicated to the receipt of information or requests for applications sent via an electronic mail service. The receipt of an e-mail in a dedicated box can trigger a user notification, the execution of a processing or a user Workflow. This system does not replace the traditional electronic mail service of the company but it completes it with regard to the Workflow and all the automatic processing by e-mail.

Documalis Mail Server: Complementing traditional electronic mail service

Documalis Mail Server has not been designed to oust the company’s classical electronic mail service but it is complementary for the programming of predefined tasks, to handle, for instance, an incoming e-mail in a dedicated mail box.

Documalis Mail Server is equipped with an SMTP component to receive incoming e-mails (rerouting from the company’s electronic mail service, for instance), a POP3 component for consulting internal mail boxes as well as a Web mail component which can be easily linked with Documalis Workflow and Documalis TrayIcon.

Dedicated mail boxes
Documalis Mail Server is preconfigured with mail boxes shared with other servers in the same range which bear corresponding application names (workflow, process, document…) and which allow the use of items contained in the incoming e-mail (subject, message, attachments) in order to trigger the relevant prosessing.

Linkage with Trace, Dashboard and Document servers
Documalis Fax Server reveals its full worth and potential when linked with other applications servers in the same range of products:
•   Document Trace ensures the full traceability of the company’s strategic incoming and outgoing e-mails
•  Documalis Dashboard controls the availability of the e-mail server and sends alerts in case of anomalies.
•  Documalis Document is equipped with dedicated mail boxes for the automatic insertion of the document which is made up of the attachment to the e-mail, with the document type identified in the subject and the indexes included in the mail message.

Linkage with Process, Workflow and Report servers

• A specific process can be triggered in Documalis Process Server by an incoming e-mail containing the process name in the subject of the mail, the parameters for incoming mail in the message and the ZIPX file as attachment.
• A user Workflow can be triggered in Documalis Workflow Server by an incoming e-mail containing the name of the workflow in the subject of the mail, the parameters for incoming mail in the message and the ZIPX file as attachment.
• Documalis Report can use Mail Server to send generated reports to a list of recipients by e-mail.
